Getting Started With ABA Services

Insurance Authorization, Assessment & School-Based Service Approval Process

Starting services can feel overwhelming, especially when insurance and school approvals are involved. Our goal is to guide you through the process clearly and compassionately so you always understand what to expect.

Below is an overview of the process for beginning ABA services and requesting school-based support.


Step 1: Insurance Verification & Benefits Review

To begin the process, we will request:

  • A front and back copy of your child’s insurance card
  • Your child’s full legal name
  • Your child’s date of birth

Once received, our team will contact your insurance provider to verify:

  • ABA therapy coverage and benefits
  • Whether prior authorization is required
  • Any copays, coinsurance, or deductibles
  • Other potential out-of-pocket responsibilities

If there are any financial obligations associated with services, we will communicate those clearly before moving forward.


Step 2: Initial Assessment Authorization

Most insurance companies require approval before ABA services can begin.

To request authorization for an ABA assessment, we may need:

  • A formal autism diagnosis from a licensed diagnosing physician
  • Supporting documentation requested by insurance

If your insurance requires prior authorization for the initial assessment:

  1. We submit the request to insurance
  2. Insurance reviews the request
  3. Once approved, we contact you to schedule the assessment

If prior authorization is not required under your plan, we will contact you directly to schedule the assessment.


Step 3: Intake Packet & Required Documentation

Before services can begin, families will receive an intake packet containing important documents and forms, including:

  • Service agreements
  • Informed consent forms
  • Developmental history questionnaires
  • Demographic information forms
  • Required document checklist
  • Release of information forms
  • Scheduling availability forms
  • Financial and billing policies
  • Cancellation and attendance policies

These documents are important because they:

  • Provide legal authorization for services
  • Help us gather information needed for assessment and treatment planning
  • Explain family rights, responsibilities, and clinic policies

Please review all documents carefully before signing. Your signature indicates that you have read, understood, and agreed to the information provided.


Step 4: Comprehensive ABA Assessment

The assessment process helps us understand your child’s strengths, needs, and goals in order to develop individualized recommendations and treatment planning.

The assessment may include:

  • Parent and caregiver interviews
  • Teacher or school collaboration
  • Interviews with your child (when appropriate)
  • Standardized assessments and questionnaires
  • Direct observations in natural environments
  • Review of previous records (IEPs, therapy reports, medical documentation, etc.)

We also discuss:

  • Your concerns and priorities
  • Skills you would like your child to develop
  • Family goals
  • Caregiver support and training needs

The assessment process typically takes approximately 2 hours, though additional time may be needed in some circumstances.


Step 5: Treatment Plan & Clinical Report Development

After the assessment is completed, the BCBA develops a detailed clinical report that includes:

  • Assessment findings
  • Interpretation of testing and questionnaires
  • Behavioral observations
  • Skill acquisition goals
  • Behavior reduction goals
  • Caregiver training goals
  • Recommended services and treatment hours

This report is developed collaboratively using:

  • Interviews
  • Observations
  • Assessment data
  • Medical and educational records

Families will receive a copy of the report for review and signature. Reports are typically completed within 1-2 weeks.

If anything appears inaccurate, incomplete, or needs clarification, we encourage families to discuss concerns with us so adjustments can be made when clinically appropriate.


A Collaborative, Family-Centered Process

We strongly believe that caregivers are an essential part of the treatment team.

Your voice, insight, and concerns matter throughout every phase of treatment planning and service delivery. Our role is not only to support your child, but also to work collaboratively with your family in a respectful and transparent manner.

If you ever feel excluded from the process or feel your concerns are not being heard, we encourage you to contact your supervising BCBA or Clinical Director directly so concerns can be addressed promptly.

The report-writing and treatment planning process typically takes approximately 1-2 weeks following completion of the assessment.


Step 6: Insurance Review & Approval for Services

Once the treatment plan is finalized:

  1. The report is submitted to insurance for review
  2. Insurance determines whether to approve recommended services and hours

In some cases, insurance may:

  • Request clarification
  • Recommend modifications
  • Approve fewer hours initially
  • Request a peer review discussion with the BCBA

These requests are common and may extend the approval process slightly.

Once authorization is approved, we are able to schedule the start of ABA services.


School-Based ABA Services Approval Process

For families requesting ABA services within the school setting, additional approval steps are often required.

Because procedures vary by school district and individual school, requirements may differ depending on placement.

Possible school requirements may include:

  • Completion of a PIP packet or school-specific approval forms
  • Parent signatures authorizing school-based services
  • Authorization for both the BCBA and RBT to access campus
  • Submission of treatment plans and behavior support documentation for school review

Schools may also have restrictions regarding:

  • Approved service times
  • Number of hours permitted on campus
  • Areas where services may occur

School Review Timeline

The school approval process can vary significantly.

In some cases, approval may occur within a few days. In others, the review process may take up to approximately 30 days, depending on:

  • School procedures
  • Reviewer availability
  • Required documentation
  • Parent participation in the process

Once school approval is granted, services may begin within the educational setting.
